Thanks to personal computers, e-mail and the internet, everyone needs to write a lot so professional business writing skills are more important today than ever before.

"Not everyone is a confident writer," says Anton Kelly, a teacher for the UCT Business Writing and Legal Documents course.

"Many people regularly make elementary writing errors, take an inconsistent approach to document formatting and don't understand the principles behind writing persuasive or negative letters.

"Readers see their documents as unprofessional and this view applies to individuals and the organisation they represent."

She says rectifying these problems is easier than you think. Everyone has different degrees of competence when it comes to writing. People need to be exposed to clearly articulated theory and then to apply their learning in practical assignments based on case studies relevant to their working environments.

She emphasises that students must receive one-to-one feedback from their teachers.

From the chief executive to the front desk clerk, everyone needs professional writing skills.

But who has the time to learn these skills when they are employed full-time?
