Set Your Grant-Seeking
Ground Rules

As your experience in grant seeking grows, you'll learn that the dynamics of your interactions with coworkers can have a big impact on the number and quality of grant proposals you send out. For example, you rely on your organization's program directors for information and reviews of your proposals; they rely on you to coordinate communications and visits with funders; meanwhile you all have other responsibilities that take up your time. Everyone involved will benefit from understanding what is expected of them and knowing how they'll be kept in the loop, especially as you start moving through the grant cycle more quickly and have multiple proposals in different stages of the cycle simultaneously.

An important part of Step Five (but one you'll have to do only once or twice per year) is sitting down with your coworkers to set ground rules that define the way you'll work together. In this chapter we'll lead you through this discussion in detail. The main points you need to resolve are also available on a blank form (Exhibit A.10 in Resource A). Feel free to copy this form, bring it with you to the meeting, and use it to record your new policies.

You'll probably want to think of the results as a kind of rough draft to be tested and changed later. If you've only been through the grant-seeking cycle a few times, you're probably not ready to set anything in stone, especially when it comes to key
